ABSTRACT

The problem of communication between students and alumni in an educational institution is a major concern. This is because after graduation alumni of college are went for jobs, some of them went for higher education. And that’s why alumni cannot come at college frequently and guide to their juniors. And it is very difficult for freshers to adjust with new college and at that time it is very important to guide them in correct way so they cannot suffer from frustration. There are so many platforms to contact with alumni for example through e-mails, what’s app messages and more. But think if all alumni are there on one platform for guiding to freshers and their juniors this is the idea for creating this web application. There is no such platform that makes interaction of many alumni with juniors or freshers. Hence juniors and freshers are facing problems and they except that somebody came and guide them properly. There may be the case that some of juniors and freshers are already having there contact with alumni or seniors which is there for guiding them but this is not the case for all juniors or freshers. Because of not getting proper guide, student can lose their confidence and get frustrated. So we are going to make such platform that connects the many alumni of college to the juniors.

1. INTRODUCTION

This system is an application for the Alumni Guidance to manage the college information and student‘s information and communication platform for them as well. The system is an online application that can be accessed throughout the organization and outside customers as well with proper login provided, which will give better service to the customers. This system can be used as the Office of Alumni and College Relations seeks to protect the privacy of its alumni and friends, and thus, endeavors to safeguard the use of information in its custody.

2. LITERATURE SURVEY

The greatest asset any institution can have is the Alumni system. Alumni are the people who represent the institution in the real world. Alumni website is created for the students that have graduated from the institution. paper [1]The Existing system is a computerized system but which is maintained at individual databases i.e in excels sheets, it‘s a time delay process. And maintaining all the records in Excel sheets is difficult. If they want any record, they have to search all the records. It doesn‘t provide multiple user accessibility and also doesn‘t have different user privileges. So the system is not accessible for all the employees of the organization. Alumni helps institutes strategically build and manage their alumni network, by facilitating engagement, community- building, networking, communications and giving back. Paper[2]the past, alumni relations, or engagement, tended to be treated as a stand-alone activity divorced from fundraising and other advancement activities. Indeed, some alumni associations were entirely independent of their parent institutions, and whilst their members interacted with each other, they had very little interaction with the institution. Also, Alumni Website was developed using static page rather than dynamic page. And also in existing system, maximum work goes on manually and it is error prone system, it takes time for any changes in the system. The alumni portal is accessible for ex-students and not for current students. This is major hurdle in the flow of information and guidance to the existing students. The institution maintain separate portal for existing students. This has following disadvantages: 1) Maintaining two portals is costly. 3) No direct flow of information from ex-students to current students. 4) No SMS or email notification in case of any events posted, alumni has to login to portal to know about new events or updates. Paper (3) the present or existing systems are both manual and computerized. The conventional process is to store alumni and current students‘ details in ledgers. This will be maintained by each department. So, there is no centralized database. It requires the college to collate all the details of the alumni and maintain it. As it is all about maintaining ledgers, it will consume more space. Another method of computerized is to store the students‘ information in the excel sheets. It is also same as of manual process except that details entered in ledgers are replaced by excel sheets which will be maintained in the computer without consuming external space in college. It makes advantage of accessing the information at any time. somewhat easier in excel sheets than manual one. Developing from these and all now some colleges maintain a web portal which maintains alumni information. In addition to that it bridges a path a between alumni and currently studying students by providing a forum between them. These portals allow the admin only to post events related to their colleges and other colleges. The proposed Alumni Info-Com Management with Distinct Classification of Data is discussed in with a system architecture Figure.1. The role of each participant is listed as follows. • Admin - The admin is a person who manages the whole system. Once an alumnus is registered, admin should activate their account after verification. Admin can also post events related to placements, workshops, conferences etc. of both our college and other colleges. They can send important messages to both alumni and current students. • Alumni – Alumni student is the one who is passed out from the college. After registration by filling some details of them own, alumni can make use of the available features. Employed alumni can post events related to placement, internships etc in their companies or which they came to know. Non-employed alumni can share their skills and knowledge with other alumni and current students. They can also view the events posted by others, related to their department which are filtered by support machine. • Current student – Current student is the student who is currently studying in the alumni. They can chat with them to clear their doubts regarding education. They can view the placements and other events‘ posts. Support vector machine algorithm filters the events to that student according to their department.

3. METHODOLOGY

As this is a complete online website, there are two technics – Frontend & Backend. Frontend means the design of the website or the designing interface of the web application. Programing languages coming under Frontend: – HTML, CSS & Java Script. Backend means server side programming; it communicates the client interface with the database and the logic control. Programing languages coming under Backend: – Php, JavaScript, etc.

4. ADVANTAGES OF PROPOSED SYSTEM

It is completely automated system in handling the college database. This system provides centralized database maintenance this system provides easy access to the particular alumni account or his/her complete details This system provides student to easily navigate through the application for more information in a most secure manner. • Reduces manual work. • It is time saving. • Efficient way of managing the Alumni data.

5. CONCLUSION

Alumni portal for any university internet site may be very crucial of all alumni. Alumni portal has been setup to increase relations, information sharing and networking among the alumni students. Alumni portal attention on bringing together alumni college students of college. The primary goal of this report is to attach the alumni students with the college and existing college students with the help of alumni web portal where they can have communication with existing students and college. By the use of this system, high-quality interplay may be maintained amongst alumni and with the university and the students. A good networking can be developed in between the current student and alumni, by using this system the student can clear their doubt in any area, the Alumni student can share their knowledge, materials everything through this application. The department can get any information about alumni easily by using this system, in case of any urgent need.
